What changes have been made to the Toolbox module?
This guide will show you the new updates we have rolled out to Toolboxes. This includes statuses, prestart messages, and marking attendance.
In this guide, we’ll walk you through some of the key improvements in the Toolbox module. These changes are designed to streamline your workflow and improve visibility for better management of Toolbox sessions.
Drafts vs. Sent Invitations Statuses
One of the most significant updates is the improved visibility between drafts and sent invitations for Toolbox sessions. Now, you can see when a Toolbox session has an invitation sent or when it's still in draft mode.
- Draft Mode: When creating a draft, your workers will see a message even if they haven’t been officially invited to a Toolbox session.
Invitation Sent: You can see the status of Toolbox sessions that have invitations sent out to workers, helping to avoid confusion over who has been notified.
Scheduling a Toolbox Session
Here’s a step-by-step guide on scheduling a Toolbox session:
- Click on Schedule a Toolbox.
- You’ll now see options to select the type and set the agenda for the session.
- Once you've set everything up, you have the option to save it as a draft.
Draft Mode in the Worker’s App
You can now manage the draft mode more effectively within the worker's app. While in draft mode, the session will not require official invitations. You can even run a Toolbox session in draft mode if you haven't invited anyone yet.
Running a Toolbox Session in Draft Mode:
- You can choose to run a Toolbox session in draft mode, and later send it out to workers for acknowledgment.
This is especially helpful when you need your workers to acknowledge Toolbox sessions that have pre-start messages. For instance, you can set a timeframe, like 24 hours or 2 days, for workers to review and acknowledge the session.
Pre-Start Messages for Workers
The Toolbox module now has an option to enable pre-start messages for workers. You can select this option to ensure that your workers receive and acknowledge a message before starting the session.
Customise the timeframe within which the message needs to be acknowledged
Summary of Changes:
- Invitation Visibility: Easily track whether a session is in draft mode or if invitations have been sent.
- Draft Mode Flexibility: Run Toolbox sessions even when workers aren’t invited yet and update attendance in real time
- Pre-Start Message Option: Send important pre-start messages to workers and set the time limit for acknowledgment.
These updates are designed to improve how you manage and schedule your Toolbox sessions, giving you more control over visibility and workflow.
