How do I create a toolbox?
Create a toolbox using this step-by-step guide for setting up and organizing toolbox meetings. Toolboxes are essential for sharing important information, discussing safety measures, and keeping your workers informed.
Step 1: Accessing Project Overview:
- Open BuildPass and log in to your account.
- Navigate to the project overview page of the desired project.
Step 2: Accessing Toolboxes:
- Scroll down the project overview page.
- Locate and click on the "Toolboxes" section.
Step 3: Creating a New Toolbox:
- Inside the "Toolboxes" section, find and click the "Create Toolbox" button.
- A new window will appear, allowing you to set up the toolbox details.
Step 4: Toolbox Details:
- Choose the date and time for the toolbox meeting.
- Specify the type of toolbox you're conducting.
- Optionally, include a description of what will be discussed during the toolbox.
- Attach any relevant files that participants might need for reference.
Step 5: Distributing the Toolbox:
After filling in the toolbox details, click the "Distribute" button.
You'll be presented with distribution options based on worker categories:
- Workers signed in today
- Workers inducted to the project
- All workers
Step 6: Submitting the Toolbox:
- Confirm your distribution selection and click the "Submit" button.
- A confirmation message will appear. Click "OK."
Step 7: Worker Notifications:
- All the workers who fit the distribution criteria will receive a notification about the upcoming toolbox at the specified date and time.
Step 8: Conducting the Toolbox:
On the scheduled date and time, go to the toolbox section.
Click the "Run" button for the corresponding toolbox.
During the toolbox, you can:
- Take notes on discussions, safety protocols, etc.
- Attach relevant documents.
- Mark attendance of the participants.
Step 9: Marking Attendance:
- Inside the toolbox, locate the "Mark Attendance" option.
- Check the boxes next to the workers who attended.
- Once all attendees are selected, click the "Save Attendance" button.
Step 10: Saving Toolbox:
- After marking attendance, click the "Save Toolbox" button to finalise the toolbox session.
Step 11: QR Code for Attendance:
- At the end of the toolbox, you'll find a QR code representing worker attendance.
- Workers who attended can scan this QR code to confirm their participation and receive a summary of the toolbox.
Step 12: Additional Subcontractors:
- If new subcontractors join later and weren't initially invited, they won't appear in the attendance list.
- However, they can still scan the QR code to get the toolbox summary and be added to the attendance record.
Step 13: Summary for All Workers:
- All workers, whether originally invited or later additions, will receive a summary of the toolbox.
